Users

Manage workspace members and their access permissions.

Overview

User management allows you to:

  • Invite team members
  • Assign roles and permissions
  • View active members
  • Remove users when needed

Team Feature

User invitations require the Team Management feature to be enabled for your workspace.

User Roles

Available Roles

AdminManage users, settings, all requests

Role Capabilities

Owner:

  • All admin permissions
  • Manage billing and subscription
  • Delete workspace
  • Cannot be removed

Admin:

  • Invite/remove users
  • Manage workspace settings
  • Access all photo requests
  • Generate reports

User:

  • Create photo requests
  • View own requests
  • Upload photos
  • Basic operations

Inviting Users

Send an Invitation

  1. Go to Team ManagementInvitations
  2. Click New Invitation
  3. Enter the email address
  4. Select a role
  5. Optionally assign to a team
  6. Click Create

Invitation Details

Invitation Expiry

Invitations expire after a set period:

  • Pending invitations show expiry date
  • Expired invitations can be resent
  • Accepted invitations are removed from list

Managing Invitations

View Pending Invitations

The invitations list shows:

  • Email address
  • Status (Pending/Accepted/Expired)
  • Inviter name
  • Expiration date

Cancel Invitation

To cancel a pending invitation:

  1. Find the invitation in the list
  2. Click the delete button
  3. Confirm cancellation

Resend Invitation

If an invitation expired:

  1. Create a new invitation
  2. Use the same email address
  3. Send again

User Limits

Plan Limits

Each plan includes a user limit:

Professional10 users

Checking Limit

When inviting users:

  • System checks current count
  • Blocks if limit reached
  • Upgrade prompt displayed

Viewing Users

Active Users

View all workspace members:

  • Name and email
  • Role assignment
  • Join date
  • Last activity

User Details

Click on a user to see:

  • Full profile information
  • Role and permissions
  • Activity history

Removing Users

Remove a User

  1. Navigate to Users page
  2. Find the user
  3. Click remove button
  4. Confirm removal

Effects of Removal

  • User loses access immediately
  • Their requests remain in workspace
  • Data is preserved
  • Can be re-invited later

Cannot Remove

  • Yourself (owner)
  • Last admin (workspace needs admin)

Best Practices

Invite Strategy

  • Invite only necessary users
  • Assign minimum required role
  • Review access regularly

Security

  • Use admin role sparingly
  • Remove departed employees
  • Audit user list periodically

Onboarding

  • Provide role explanation
  • Share documentation links
  • Offer initial training

Troubleshooting

Invitation Not Received

  1. Check spam/junk folder
  2. Verify email address
  3. Resend invitation
  4. Check email provider blocks

Cannot Invite User

Possible reasons:

  • User limit reached (upgrade plan)
  • Email already in workspace
  • Pending invitation exists
  • Invalid email format

User Cannot Access

  1. Verify invitation was accepted
  2. Check role permissions
  3. Confirm workspace selection
  4. Review user status
